How To Deal with Unsolicited Emails from Unqualified Candidates

A Professional Template for Turning Awkward Outreach into a Positive Connection

SourceCon Community

We are experiencing an interesting economy these days. Depending on who you ask, the market is great! For instance…

The U.S. economy is displaying continued resilience and growth despite challenges. Real GDP is expected to expand by 2.5% year-over-year in 2024, an upward revision from previous forecasts. Economic growth is high, with the economy booming despite aggressive interest rate hikes. The U.S. economy printed real GDP growth of almost 5% even after rates went from 0% to 5% in a short period.

But on the flipside…

Many Americans view the economy negatively, with only 28% rating national economic conditions as excellent or good. Critics argue that it's not a good economy when people worry about lunch costs, cannot afford reasonable housing despite working all day, and a high percentage of the population is mounting debt. Some indicators suggest the real unemployment rate is closer to 24%, and while inflation is technically down, essential expenses like groceries, rent, and utilities continue to strain household budgets

I tend to be cynical in my old age, so I tend to agree with the more negative view. Plus there is the steady flow of unsolicited emails from jobseekers seeking opportunities; the strongest economic indicator, I think. But I digress. No matter the state of the economy, that should have no bearing on the level of professionalism we should have as recruiters and sourcers. After all, today's jobseeker may be your employer tomorrow. That being said, I would like to offer to all a template that can be used when responding to unqualified candidates who send unsolicited emails to you. It goes a little something like this...

Jobseeker,

Thank you for contacting me and for your interest in [insert company name here].  With respect, I am not recruiting for opportunities that meet your qualifications. At least, not as of this moment. This is not to say that I cannot place you in the future. That being said, please assist us both by considering the following:

As you know, I recruit for [insert company name here]. Our focus is on the [insert industry here] industry. The people I tend to recruit generally have the job title of:

  • Job Title I

  • Job Title 2

  • Job title 3

More than likely, I will place those individuals in one of the following locations:

  • City I

  • City 2

  • City 3

In order to save us both some time, please review the collection of job descriptions that I recruit for everyday. These job descriptions are posted on my LinkedIn profile [add a link to your LinkedIn profile or attach the job descriptions to your email]. I would also encourage you to visit our careers page for more opportunities. [add a link to your company careers page]

Thank you again for your interest in [insert your company name here]. It really is a great place to work! Check this out [link to something that proves that the client is a great employer].

Sincerely,
John Q Recruiter

The work was fulfilling, and I felt supported by my colleagues and leaders. Then, out of nowhere, a merger changed everything. In this article, I want to share my personal story of how I secured four job offers in just one month after my layoff. It’s a journey filled with lessons learned, emotional turmoil, and ultimately, a newfound confidence in navigating my career.focusing on other luminaries who happen to be people of color. Let’s try an experiment.

How Recruiting Teams Today Manage the Surge of Inbound Job Applications

Webinar: Dec 11, 2024 | 2:00 PM EST | 1 Hour

Inbound job applications have seen a significant increase, driven by factors such as the continued access to remote work, a more competitive global talent pool, fewer job openings per available candidate, and improved job search and application technology. This influx presents a new challenge for recruiting and hiring teams, who must sift through large volumes of candidates, many of whom may not be a perfect match for the role. Based on recent research from the ERE CandE Benchmark Research Program and Gem, we’ll learn how companies like Pendo.io are improving how they handle inbound applications and how they enhance recruitment outcomes while maintaining a positive candidate experience.
